MCi Carbon (MCi) is a world leading and multi award winning Australian clean technology company transforming carbon dioxide (CO2) into building products and materials for the circular carbon economy. Based in Canberra, MCi Carbon has a technical headquarters in Newcastle, a global reference pilot plant at the Newcastle Institute of Energy and Resources (NIER) and will soon be building one of the world's first mineral carbonation demonstration plants at Orica's Kooragang Island manufacturing site, operational in 2024.
Founded in 2013, MCi’s proprietary mineral carbonation technology is a low-cost, low-pressure, low-energy chemical engineering process to transform CO2 emissions from industrial sources into solid materials for use in a range of products.
As industries transition away from fossil-fuel intensive manufacturing to achieve emission reduction goals and those of the Paris Climate Agreement, a range of new technologies will be developed and commercialised through 2050 and beyond. The Executive Assistant is pivotal in supporting the Chief Commercial Officer (CCO) and Chief Technology Officer (CTO) in daily business operations and ensuring organisational efficiency, including management of MCi’s head office in Newcastle. You will have a strong ability to build trusted professional relationships in this broad and very hands-on role, requiring a proactive and adaptable approach. About The Role
Are you seeking a meaningful, impactful, and purpose-driven role in a new emerging industry?
Key responsibilities
- Direct administrative support and diary management to the CCO and CTO.
- Preparation of reports, presentations & communication materials for the CCO and CTO.
- Office management for the Newcastle head office site and administrative support for two additional operational centres also located in Newcastle.
- Assisting with procurement transactions and logistics.
- Customer relationship management (CRM) database management (Monday.com).
- Customer and production team liaison for tracking and receipt of production samples
- Record keeping, cataloguing and file management.
- Arranging travel, domestic and international flights and hotels.
- Coordinating plant site visits – customers, government officials and dignitaries.
- Basic analytical support and database management.
- Maintain strict confidentiality of all sensitive information and exercise professional discretion in all interactions\
Qualifications and experience
- Proven track record in administrative roles at the executive level with a minimum 3 years of experience as an Executive Assistant, preferably within a fast-paced and dynamic environment.
- Experience in office management and organization of business needs and transactions.
- Advanced skills in managing relationships with key stakeholders and effective networking.
- Excellent attention to detail and multi-tasking ability.
- Strong problem-solving, discretion, and confidentiality.
- Proven ability to prioritise tasks, manage multiple deadlines, and work effectively under pressure.
- Experience with SharePoint, Teams, Microsoft Office Suite (or similar) and be able to prepare briefs, submissions and presentations.
- Experience with document management systems.
Desirable Experience
- Experience in purchasing/ procurement related tasks.
- Experience in Monday.com or project management or collaborative work tools.
- Knowledge of Xero/MYOB, Adobe Acrobat.
- An interest in cutting-edge clean tech development.
- High emotional intelligence.

This role is based in Newcastle and offered on a full time or four days per week equivalent part time basis.
